We have a trusted network of skilled and reliable tradespeople, able to deliver all types of property maintenance and repair services. We maintain an Approved Contractor Register for all contractors and suppliers we use on our clients' behalf. They have undergone due diligence on their skills, pricing and building industry standards, from their public liability insurance cover to compliance with all required health and safety training including compliance with Construction (Design & Management) regulations where relevant. They are selected for their competence and quality of work. If these standards were to change, then they may not remain on the Register.

From the very beginning our company made an absolute commitment that we would not take commissions from contractors, common to agents whether declared or not. We believe that receiving such commissions was in direct conflict with ensuring price and quality standards from contractors' work on the property. This belief has been fundamental to our own customer service standards.

Reactive Repairs and Routine Preventative Maintenance

Our expert team handle all aspects of reactive property maintenance under the Service Level Agreement. For regular services, such as communal cleaning and gardening, we ensure there is a scope of works and these are tendered for the most competitive costs. These scopes of works are put on our online portal.

With any valuable asset, a building is a wasting asset so it is important to ensure it's properly maintained in a timely manner. For most it is their most expensive investment, so it makes good sense to protect it properly. We are well versed in handling preventative and routine maintenance of buildings, some of these works will be annual and others on an ad hoc basis. For instance gutter cleaning helps to lengthen the life span of rainwater goods and in the long term reduces costs of replacement of such items.

Quarterly Property Inspections

As part of the Service Level Agreement, quarterly property inspections are undertaken, using specialist inspection software. This allows the property manager to carry out an efficient visual inspection of the building, taking photos as appropriate and recording the current condition and then the report is uploaded to our systems. This allows us to build up a long term view of the life cycle of the building and its elements, as well as identify any matters which require immediate attention or attention within 3-6 months.

Planned Preventative Maintenance (PPM), Capital Works and Statutory Section 20 Consultations

Planned Preventative Maintenance schedules are an important component of managing large scale scheduled repairs and redecoration for internal and external areas. Some of these works are stipulated in the lease and others are part of managing the life cycle of the building. These schedules are drawn up to roll over a five or ten year period and allows leaseholders to understand the reasons for the reserve funds they pay, and helps to assess the right level of reserve funds needed for year on year budgeting purposes. It is important to understand the role that PPMs play in evaluating the level of reserve funds for budgeting purposes and allows for better capital expenditure planning.

These works are planned several months in advance to ensure leaseholders and other stakeholders have sufficient time to prepare for any works. Where appropriate, we manage the Section 20 Consultation and the competitive tendering process and select the winning contractor. We also have suitable experts to specify, tender, supervise and sign off all work carried out. Our administrative team handles all the administration requirements for the works, including complying with legislative requirements, health and safety and dealing with the funds required for the works from the leaseholders, where the reserve funds are insufficient to pay for the works.
